Appointment Reminder updates:
Option to add an Additional reminder message
Up to 1 hour before the appointment (keep in mind the quiet hours are between 6pm-8am in your time zone. Automated messages will not go out during this time).
The recommendation is to create them in sequence, but this is not enforced by Rhinogram (e.g. Appointment Created Message, Appointment Reminder 1 Week/168 hours before appointment, Additional Appointment Reminder 24 hours before appointment).
Option to include RhinoForms or attachments with an appointment message
You can include multiple forms or attachments per 'campaign'
The same form can only be attached to one message per ‘campaign’
The existing rules for form expiration apply - each instance of sending the form is independent. Sending the same form in a new link to a patient will cause the previous form to expire, if it is not already filled in by a patient.
Recommendation is to use the new ‘copy form’ link to resend the previous form, if required to avoid duplicate versions of the same form. (see RhinoForms Update below)
For Integrated offices with Write-Back capabilities enabled AND auto-write-back enabled on the form-Forms that are sent through the appointment reminder campaigns will write-back to the patient’s documents in your PMS/EHR automatically, regardless of who has phone ownership.
Preferred Name/Provider Name variable
It is now possible to include a preferred name or provider name with any appointment message.
If no preferred name is available, we will use the first name instead
Provider Name will be populated with the provider preferred name (aka Alias) field as per the Appointment Data page.
If no Provider data is associated with a specific appointment, then the reminder will display “the provider” instead.
Updated rules for codified responses to appointment messages
If a patient responds to an appointment reminder message with a codified response of 1 or 2 outside of availability hours, they will no longer receive the out of office response. This will avoid clogging up the inbox with these messages.
b. If a patient responds with a codified response of “1” to confirm an appointment, the message will no longer appear in the inbox. However, the message will still be in the conversation thread and the appointment status will be updated automatically. THIS IS AN OPTIONAL CONFIGURATION FOR INTEGRATED ORGANIZATIONS. Appointment Manager updates
We have added a new column to the appointment manager table to show the status of appointments that contain a RhinoForm in the message. It will be possible to see the status of the form as well as view the completed form without having to leave the page.
Status options are:
Completed (Green Dot with Check Mark) - displays when form has been completed by the contact. Option to view completed forms.
Expired (Red Dot with X) - displays when form has expired
Sent (Solid Green Dot) - displays when form has been sent as a part of this reminder campaign, but is not yet completed by the patient.
Not sent (Orange Dot with -) - If form is not yet sent.
Blank - If there is no form as a part of the appointment message
2. We have also added the additional appointment message to the communications column to show the status of that message.

Dolphin Appointment Confirmation Update
Dolphin customers will now see the green check mark in the appointment box in the Dolphin Schedule for appointments that have been confirmed within Rhinogram. Please note that the appt status will no longer change. This is at the request of Dolphin, to avoid issues that were causing bugs with the confirmation.

RhinoForms updates
Form activity - shows on all patient profiles in organizations that have RhinoForms enabled
There is now an option to generate a form for a patient within form activity under the patient summary, selecting from one of the forms in the organization forms library.
Once the form is generated, the staff member can open the link in a new tab to fill a form about a patient or copy the link to share the link with a patient - text it to them, email it to them, hand the patient an ipad with the link to submit the form (if patient is in the office)
Generating a form will expire any currently active (sent) versions of the same form to expire for that patient.
The staff member can also copy the link if they wish to copy/paste it elsewhere (email, text, etc)
Once a form is completed, the option to view the pdf will be visible.

RhinoForms Manager now has a new option in the status filter and column - Generated. It is Possible to filter or sort by generated forms.
