Composing Messages and Notes

Composed message/note persists within the session, when a user goes away from and comes back to the thread.

  • When typing a message or a note in the contact thread, or a team message, if the user leaves the page and comes back, the text within the compose area will persist within the same session.
  • When the user comes back to the thread whatever was previously typed is maintained, including forms or attachments.
  • Persists only within this session only.

Video In Mobile App

When attempting to view a video file in the native app (Android or iOS) upon clicking the link to the file, the member is prompted to give file access permission and if they say yes (or they've previously given permission) the file is downloaded to the device / saved to the camera roll to allow the user to be able to view the file.

The Member should ensure they remove the file from their device upon completion.

This will require the latest version of the app to utilize this update.

How do I send a text message to a contact?

In order to text a contact you'll want to locate them by searching for the contact in Contact list using the global search indicated by the magnifying glass or by clicking on Contacts and locating them in your list. Once you select the correct contact you'll want to make sure you are on their Conversation Thread by clicking Go To Conversation.

At the bottom of the conversation thread view, there is a box that says Message. When Message is highlighted (as opposed to RhinoSecure or notes) you're ready to send a text. You can send a text by clicking the speech bubble icon below the message box and selecting a template, or by typing what you'd like to send in the message box. Once you're confident with your message, click the paper airplane icon to the right of the message box and your message will be sent.

How will I know if my text message was sent?

When a message is successfully sent, you'll see "Message Sent" and a time beneath the message inside of the conversation thread. If a message fails, you'll see the word “Failed" in red below the message.

How long can my text message be?

Your texts to Contacts can be as many characters as you like. Some important things to keep in mind, however, is that some phone carriers will break up long messages into multiple shorter messages which can come into the Contact's cell phone at different times. Another consideration is if a message is longer than 160 characters, it will be sent as an MMS message. The majority of plans now include MMS messaging, but there are still occasionally people who don't have a cell phone plan that includes MMS.

Why did my outbound text message fail?

The majority of the time when a message fails it is because you are sending the text to a phone number that is not eligible to receive text messages like a work or home phone number. In these cases, the best thing to do is call the Contact and ask for their cell phone number so you can update the Contact record. Can I send images and files via text message?

Yes, you can send files less than 600kb via text message as a regular attachment. For files larger than 600kb, you'll want to use the RhinoSecure Channel or add this file to a Template. If a large file is added to a Template, this can be sent via regular messaging with a unique link.

Why can't I send a message?

If you are prompted with the message below, this means you have not been added to the "All Inbox" group or where your messages are being routed to.

To correct this, have your administrator edit your member profile and select Add to More Groups at the very bottom of page. You will then select the group that your phone number is routed to and Save. After this has been corrected, simply refresh your page and you should no longer see this message. To prevent this in the future, when adding a new member, ensure they are included in the groups they will need to have access to.

How do I choose the number I am trying to text if a contact has more than one on their profile?

Below the message composition box, there are 2 opposite facing arrows. Here is where you can select which number you are texting to as well as which number you are texting from. If your practice has more than one textable number in Rhinogram, you will be able to choose which number you want the text to send from.

If there is any past conversation history for a contact, Rhinogram will automatically default to use those To/From numbers again when initiating a new conversation.

How do I tell which phone number my text was sent to if the contact has more than one on their record?
If you are wondering which number you sent an outbound message to, simply hover over your message and this information will display.

Which Outbound/Office Phone Number will Rhinogram Default to?
Rhinogram will default to the last phone number used when communicating with a contact. If you are initiating a brand new conversation, Rhinogram will default to your provisioned landline number first and then to any Rhinogram given textable number.
